Why is the Secure Contact Form important?

With the enforcement of VRG/VEVV in the Canton of Zurich as of January 1, 2027, authorities are required to offer digital incoming channels that are not only encrypted, but also verifiable and receipted—comparable to registered letters.

The Swiss market can expect that other cantons will introduce similar regulatory requirements. The IncaMail Secure Contact Form already offers a standards-compliant, scalable solution for this today.

What does the Secure Contact Form enable?

The Secure Contact Form is a web-based input form accessible via a link. You can receive the following through a single digital incoming channel:

• Confidential submissions: encrypted message transmission

• Registered submissions: legally verifiable transmission with sealed delivery and submission receipts

No IncaMail registration is required on the sender’s side.

Basic principle

• The owner of the contact form creates and configures it in their IncaMail account.

• The link can be shared publicly or with specific recipients.

• Anyone with a verified email address can send messages through it.

How to activate the Secure Contact Form

1. Go to Profile settings (Settings → Profile)

2.  Secure Contact Form

3.  Enable the checkbox

1. Configure the Secure Contact Form

2. Select Registered or Confidential

3. Save

Important information

The contact form is set up per IncaMail account—each desired contact form is set up and managed directly through the corresponding account, not centrally by the subscription administrator. This means that a separate account must be registered for each desired contact form.

Important limitations

1. An account can have only one Secure Contact Form.

2. Only one type of contact form can be active per IncaMail account: either Confidential or Registered. When the type is changed:

   • The existing link remains valid.

   • All future messages correspond to the newly selected type.

Example

Suppose you have an MGI subscription with the domain example.ch. This allows all email addresses within this domain to register IncaMail accounts and set up an Secure Contact Form.

If you want to set up two contact forms, you must register two separate accounts, for example:

• info@example.ch
• security@example.ch

You then sign in to both accounts and set up the Secure Contact Form in each account. Each account receives its own unique link to the Secure Contact Form, which can be shared. Messages sent through the Secure Contact Form are delivered to the mailbox of the corresponding IncaMail account.

Hierarchy

The structure can be divided into four levels, with each level containing the next:

1. Business subscription 
2. Domain(s)—the domain(s) activated under this subscription, e.g., example.ch
3. Accounts—individual IncaMail accounts within this domain, e.g., info@example.ch, security@example.ch
4. Secure Contact Form—each account can set up its own contact form

In other words, an Secure Contact Form always belongs to exactly one account, an account belongs to a domain, and one or more domains belong to a subscription.

For senders (e.g., citizens)

1. Open the link to the contact form

2. Compose a message

3. Verify your email address and accept the Terms of Use

4. Send the message

5. Optional—save the message
