Requirements
To use eGov registered emails as a private individual, your postal address must be verified by Swiss Post. You can do this in your account settings.
To register as an employee, company, or authority for receiving registered messages, you must first sign this agreement electronically and send it to business@incamail.ch or send it by mail to the address specified in the agreement.
The ability to receive registered IncaMail messages is available to private individuals as well as companies, authorities, and employees. Different requirements apply depending on the recipient category.
1. Private Individuals
To receive registered eGov messages as a private individual, your postal address must be verified by Swiss Post. You can complete the verification directly in your account settings: Account Settings – Profile
2. Authorities, Companies, and Employees
To receive registered messages as a company, authority, or employee, a consent declaration must first be submitted to IncaMail.
You can download the consent declaration by clicking the “Open Agreement” button or the link below. Please send it to IncaMail after downloading and signing.
Preferred submission method: Please send the electronically signed document by email or IncaMail to business@incamail.ch. Sending by postal mail is also possible; the corresponding address is provided in the agreement.
Receiving Permissions in the Consent Declaration
In the consent declaration, you specify which email addresses within your domain are authorized to receive registered messages. Two options are available:
- All users within the specified domain(s) are allowed to register for receiving electronic registered mail.
- Please note: Even with this option, users who want to be listed in the eGov directory must complete the setup process on their side (see next steps).
- Only the email addresses explicitly listed in the consent declaration are authorized to receive registered IncaMail messages.
⚠️ Warning: With this option, all other email addresses in the domain that are not listed will be completely excluded from receiving registered messages. Therefore, ensure that the list of authorized addresses is complete and correct before submitting the consent declaration. Subsequent changes require a resubmission of the agreement.
Make an Entry in the eGov Directory
To participate in Swiss government communications, participants must be listed in the eGov Switzerland directory. Once the above requirements are met, you can register in the eGov directory by following these steps:
1. Activate Registered Mail Reception
Open your Account Settings – Profile and select the option:
“Receive all registered emails (including eGov)”
2. Select Entry Type
Choose under which category you would like to be listed in the directory:
| Entry Type | Requirement |
|---|---|
| Private Individual | Address verification by Swiss Post (see section above) and acceptance of the consent declaration in the next step |
| Employee | Consent declaration must have already been processed by IncaMail Support |
| Authority | Consent declaration must have already been processed by IncaMail Support |
| Company | Consent declaration must have already been processed by IncaMail Support |
3. Complete Setup
Click “Next” and follow the displayed steps. After completing the process, you will be listed in the eGov directory and can receive registered IncaMail messages.
Note: You can adjust or remove your directory entry at any time in the account settings. Receiving registered messages can also be completely blocked.
Electronic Government Communication via IncaMail
The ordinance enacted by the federal government on electronic transmission within civil and criminal proceedings as well as debt enforcement and bankruptcy proceedings (VeÜ-ZSSV) and the ordinance for electronic transmission within administrative procedures (VeÜ-VwV) (electronic transmission) obliges courts and authorities to accept submissions electronically and to use a secure delivery platform for this purpose. Likewise, for example, lawyers or parties involved in proceedings can request that decisions be delivered electronically. IncaMail was recognized by the federal government at the end of 2010 as a secure delivery platform. The shipping method intended on IncaMail to fulfill the eGov ordinances is “Registered Mail.” Sending registered mail is possible for all registered IncaMail users who have a premium account or a business customer contract.
